Information Collected Automatically
When you visit our website, we may automatically collect technical data such as your IP address, browser type, operating system, and pages visited. This is used solely to maintain and improve our website performance.
2. Our Lawful Basis for Processing Your Data
Under GDPR, we must have a legal reason (“lawful basis”) for using your data. Here’s ours:
- Consent: When you sign up for our mailing list, tick a checkbox on a form, or agree to receive marketing communications, you are giving us consent. You can withdraw this at any time.
- Contract performance: When you register for membership or an event, we need your data to fulfil that agreement — sending you materials, confirming your place, managing your account.
- Legitimate interests: We may process certain data to run our organisation effectively, maintain network security, and manage member relationships — where this does not override your rights.
- Legal obligation: In some cases, we are required by law to retain certain records.
3. How We Use Your Data
We use the information we collect to:
- Manage your membership and provide forum services
- Register you for events and send relevant materials
- Maintain a member directory (visible to other members, with your consent)
- Send you communications, event invitations, and updates you have opted into
- Process payments for events and membership fees
- Respond to your enquiries and provide support
- Improve our website, services, and events
- Comply with legal and regulatory requirements
We will never send you marketing communications if you have not opted in. You can unsubscribe at any time.
4. How Long We Keep Your Data
We keep your personal data only as long as necessary:
- Active members: For the duration of your membership
- Former members: Up to 3 years after membership ends, unless you request earlier deletion
- Event attendees: Up to 2 years after the event
- Website enquiries and mailing list subscribers: Until you unsubscribe or request deletion
- Financial/billing records: Up to 7 years as required by Albanian tax law
5. Who We Share Your Data With
We do not sell or trade your personal data. We may share your data with:
- Mailchimp (email communications) — see Section 6 for details
- Event sponsors, speakers and organizers — only where you have given explicit consent at the time of registration
- Service providers who help us operate our website or events, including Luma (event registration) and Stripe (payment processing), under strict confidentiality agreements. No card data is stored by us. Some payments are also accepted via bank transfer.
- Legal authorities where required by law
6. Mailchimp and International Data Transfers
We use Mailchimp (operated by The Rocket Science Group LLC, based in the United States) to manage our mailing list and send email communications. This means your email address and name are stored on Mailchimp’s servers in the USA.
Mailchimp complies with GDPR requirements for international data transfers using Standard Contractual Clauses (SCCs) approved by the European Commission. You can review Mailchimp’s privacy practices at mailchimp.com/legal/privacy.
Your data is only transferred to Mailchimp if you have subscribed to our mailing list.
7. Your Rights Under GDPR
You have the following rights regarding your personal data:
- Right of access: You can request a copy of the personal data we hold about you.
- Right to rectification: You can ask us to correct any inaccurate or incomplete data.
- Right to erasure: You can request that we delete your data (“right to be forgotten”), subject to certain legal exceptions.
- Right to restrict processing: You can ask us to pause how we use your data while a dispute is resolved.
- Right to data portability: You can request your data in a commonly used, machine-readable format.
- Right to withdraw consent: Where we rely on your consent, you can withdraw it at any time without affecting anything done before withdrawal.
- Right to object: You can object to processing based on legitimate interests or direct marketing.
- Right to lodge a complaint: You have the right to complain to the Albanian Information and Data Protection Commissioner (IDP) if you believe we have mishandled your data.
